UN Procurement (UNGM) Vendor Registration Guide
1. What is UNGM
- UNGM is the single entry point for UN procurement, covering vendor registration, Procurement Notices and Contract Awards across multiple UN organizations (e.g. UNDP, UNICEF, UNOPS, the UN Secretariat).
- Registering on UNGM means your company enters the UN potential-vendor database, which UN procurement officers search during sourcing.
- Important: being registered does NOT mean "pre-qualification". You must still submit quotations/proposals against specific notices and meet quality-assurance requirements where applicable; some categories (e.g. pharmaceuticals) have separate prequalification processes.
2. Why suppliers register
- Your profile is visible to all UN procurement officers, increasing the chance of being sourced.
- You can view UNGM Procurement Notices and Contract Awards to capture bidding opportunities in time.
- You may optionally subscribe to the Tender Alert Service (official price approx. USD 250/year) to receive relevant notices by email.
3. Three registration levels and required documents
- Basic (mandatory): acknowledge the UN Supplier Code of Conduct; provide company name, license number, address, contact details; countries of business; classify goods/services by UNSPSC; complete the Declaration of eligibility. Typically for estimated contract value below USD 40,000.
- Level 1 (optional, requires Basic): certificate of incorporation or equivalent legal-status document in English (certified translation required if not in English); at least 3 independent, non-affiliated references; names of owners and principals (parent company, subsidiaries/affiliates, CEO/Managing Director, controlling interests); names of any intermediaries/agents/consultants used for UN contracts or bids. Typically USD 40,000–500,000. Supplier must be established at least 3 years.
- Level 2 (optional, requires Basic and Level 1): in addition, audited/certified financial statements for the last 3 years (income statement and balance sheet with auditor/external accountant report); and 3 reference letters from independent, recent, non-affiliated clients. Typically USD 500,000 and above. Supplier must be established at least 3 years.
- Recommendation: SMEs usually start at Level 1; suppliers only pursuing sub-USD 40,000 contracts may register at Basic only. After Level 1 you can upgrade to Level 2 at any time.
4. UNSPSC classification (determines whether you are found)
- UN procurement officers search suppliers by UNSPSC codes. A vendor may select up to 7 UNSPSC codes, and the UN matches only against the first 7 listed — so prioritize your core goods/services.
- Categories relevant to this platform include: batteries & energy storage (e.g. secondary/storage batteries, battery chargers), solar/PV systems, aircraft and related airframes/power systems, special-purpose and electric vehicles, BMS and power management.
- Note: exact UNSPSC numeric codes are per the official UNGM code list. Select the most accurate codes inside UNGM; wrong selection may cause missed opportunities. This page does not replace the official UNGM classification tool.
5. Process and timeline
- Flow: complete the online form (company info, ownership, address, contacts, UNSPSC codes, eligibility declaration) → submit → UN organization reviews/evaluates → status becomes Registered.
- Working language is English: non-English documents must be accompanied by a certified English translation from an independent third-party translator (with stamp or signature).
- Timeline: UN organization guidance varies — public guides cite roughly 6–10 weeks, or an average of up to 10 working days per review cycle. Incomplete submissions are returned for supplementation; failure to supplement in time may deactivate search visibility.
